Administrators can control access restrictions to proposals and content records using attribute picklist values as criteria. When adding restrictions, the operator between each restriction is AND. We recommend setting restrictions at a group level for simplification. If applied at the user level, all restrictions must be repeated manually for every user.

  • Viewing restrictions = content and/or proposal records users can view

  • Editing restrictions = content records users with Edit Document permission can edit

Viewing Restriction


1.   Click on  under the Viewing column for the group or user.



2.   From the Select Type picklist, choose from content search records or proposal records.

  • For content records, select Q&A Documents

  • For proposal records, select Proposals



3.  Select the attribute for the restriction.



4.   Select the operation to use for this restriction.



5.   Select the appropriate value to use for this restriction.



6.         Check the Restriction Query Returned results to confirm valid selections.



7.         Click Save.

Tips

  • When adding restrictions, the operator grouping for restrictions is AND. So, if the desired outcome is for the group to be able to view all content records where the Main Topic is Company or the Main Topic is Pricing, the restrictions must be set as Not Equal To all main topics except Company and Pricing.

  • For viewing restrictions to work, the attribute value must be populated for all records in the content library.

Editing Restriction


Editing restrictions are only available for Content search records.

1.   Click on Click on  under the Editing column for the group or user.



2.   Select the attribute for the restriction.



3.   Select the operation to use for this restriction.



4.         Select the value to use for this restriction.



5.   Review the Restriction Query Returned results to confirm that the selections made are valid.

6.   Click Save.

Tips

  • When adding restrictions, the operator grouping for restrictions is AND. So, if the desired outcome is for the group to be able to edit all content records where the Main Topic is Company or the Main Topic is Pricing, the restrictions must be set as Not Equal To all main topics except Company and Pricing.

Remove Restriction


1.   Click on the number under the Viewing or Editing column for the group or user.



2.         Click the trash button next to the restriction to remove.



3.   Click OK to proceed.



4.   When done removing restriction(s), click the Close button.
