The Verify Documents feature is based on user permissions and allows one or more records to be sent through Compliance at once.

Send Immediately

1.  From the main menu, click Content.



2.   Expand the options by clicking the Show Options icon.



3.   Choose the Q & A Only option, and then click Search Files.



4.   Click Modify Filters.



5.   Under Add new filter, choose File Type, select Word from the options, and then click Apply. Only Word file type documents can go through compliance.



6.   Apply any further filters, and when ready to process the documents then click the Verify icon.

7.   Click Save to Compliance Central – Sends document to SME and adds to Compliance to immediately distribute the records to the designated SMEs, and then click Save.



Send Later

1.  From the main menu, click Content.



2.   Expand the options by clicking the Show Options icon.



3.   Choose the Q & A Only option, and then click Search Files.



4.   Click Modify Filters.



5.   Under Add new filter, choose File Type, select Word from the options, and then click Apply. Only Word file type documents can go through compliance.



6.   Apply any further filters, and when ready to process the documents then click the Verify icon.

7.   Click Add to Compliance Central to place all record in the Not Sent tab, and then click Save.




Process “Not Sent” Items

Send to SME
1.   From the main menu, click on Content, then click on Compliance.


2.         Click the checkbox next to each record to send, and then click the Send to SME icon.



3.   Check the Include Attributes box, enter a Due Date, and then click OK.



Other options:

a.   To include notes already applied to a record, check the Include Notes box.

b. To add a note to all records, click the Include Notes box, then click Add notes to the items and enter the desired notes.

c.   To change the SME, check the Change the SME or Compliance Approval box.

d.   To carbon copy someone, check the Add CCs to email and enter the email addresses separated by a semi-colon.

e.   To open a calendar reminder, check the Download an ICAL Reminder box.

f.   To send a calendar to the recipient, check the Attach an ICAL Reminder box.


Download

This option creates the documents from compliance central that you can attach to an email and send to the SME for review.

1.   From the main menu, click on Content, then click on Compliance.



2.   Click the checkbox next to each record to send, and then click the Download icon.



2.   Check the box Mark downloaded items as sent. Check the Include Attributes box, enter a Due Date and then click OK.




Other options:

a.   To open a calendar reminder, check the Download an ICAL Reminder box.

b.   To sort the records by an attribute, choose an option under Sort By.

c.   To sort the records by an additional attribute, choose an option under Then By.

d.   To add a note to all records, click the Include Notes box, then click Add notes to the items and enter the desired notes.
